SMS & Voice Messaging Policy

The Board — OR schedule alerts for hospital EP & cath lab teams

What messages we send

The Board sends operational case alerts to clinical staff and medical device representatives: notifications that a procedure they support is scheduled, delayed, reordered, or needs their attention. Messages are sent only by hospital flow coordinators to team members who support that day's cases. We do not send marketing or promotional messages.

Example message:

Lab: EP Lab 1 Date: 2026-06-09 — You have a case scheduled. Please check The Board for details. — Sent by your flow coordinator via The Board

How consent is collected

Phone numbers are never imported or purchased. Each user receives messages only if they opt in through one of two paths:

  • Self-service web form:when a user first signs in to The Board, they are asked to confirm their contact information. The mobile phone field is optional and is accompanied by this consent notice: “By providing your mobile number, you agree to receive case alert text messages and voice calls from The Board. Message frequency varies by case schedule. Message & data rates may apply. Reply STOP to opt out at any time, or remove your number here.” A user who leaves the field blank receives no messages.
  • Verbal/written consent recorded by an administrator:a hospital flow coordinator may record a team member's number with their permission. The team member can review, change, or remove the number at any time from their own account settings.

Opting out

Reply STOP to any message to stop receiving texts. Users can also remove their phone number from their account settings at any time, which stops both SMS and voice alerts. Reply HELP for help.

Frequency, rates, and privacy

Message frequency varies with the procedure schedule — typically 0–5 messages on days the user supports a case. Message and data rates may apply. Phone numbers and message content are never sold or shared with third parties; messages contain no patient information.
